An awards ceremony is not a wedding and it is not a straight corporate party. It has a fixed running order set by the ceremony itself: a reception, a seated dinner or standing reception, several award segments with a host or MC, and usually a lift into a party once the trophies are handed out. The band's job is to become part of that structure rather than compete with it, playing as a musical thread that carries the evening from arrival to the last award, then opening up once the formal part is done.

Instead of a single 90 minute set, the band plays in blocks of roughly 15 to 20 minutes, one before dinner, one or two through the award segments, and a longer closing block once the ceremony wraps. Between blocks the band steps back to a very low level or pauses entirely on the host's cue, so the trophy announcements, the walk-up and the acceptance are never fought over by the music. This only works with a clear running order in hand before the night: exact timings for each segment, where the breaks are, and how long each block needs to run.

Volume under speeches, and walk-up music for each winner

Two different volume jobs sit inside one evening. During dinner and the reception, the band plays at a level that lets a table talk without raising its voice, calm and warm rather than performed at the room. During the ceremony itself, the level drops further so a host or a winner at the microphone is heard clearly, with the band or a DJ cueing a short walk-up phrase as each name is called and then dropping straight back down. A live band can play these walk-up moments themselves, reading the room and adjusting on the spot. A DJ can trigger a chosen track or sting at the exact second the host gives the cue. Either works, and some evenings use a live band for the dinner and ceremony, then a DJ once the party begins.

What to tell your AV team

Lupa sends a tech rider and coordinates directly with the venue's or client's AV team ahead of the night, but a few things are worth confirming early: the exact running order with timings for each award segment, who cues the band or DJ into and out of each block (usually the host or the show caller), whether the lectern microphone and the band's sound share the same PA or run separately, and where the walk-up cue comes from if it is a triggered track rather than a live phrase. Buma/Stemra and Sena licences for the public use of music are normally held by the venue or the organiser, not by the performer, so it is worth checking with the venue, which usually already has them.

Common mistakes when booking awards night entertainment

• Treating it as a party booking. An awards night needs a band built for restraint through the ceremony, not a full band turned down in volume.
• No running order. A band without exact segment timings cannot duck cleanly between award announcements, and playing through a walk-up or an acceptance kills the moment.
