How it works

What to put in your RFP to get a fast, all-in quote

The agencies and DMCs who get the fastest and most accurate quote from us tend to send the same core details every time:

• The date, start and end times, and the venue
• Guest count and the shape of the room (seated dinner, standing reception, plenary with a stage)
• The atmosphere and colour palette you want the entertainment to sit inside, especially if your client already has a brand or a theme
• Whether you need one act or several across the evening, for example a trio at dinner and a DJ for the party later
• Whether you already have a target all-in fee from your client's budget, so we can quote to fit it instead of going back and forth
• Any language requirement. Most acts on our roster perform in English, which matters for an international guest list
• Your AV supplier's name and contact, if one is already appointed for the event
• Whether the quote needs to go to your own client for approval before you can confirm, so we know how firm the hold on the date needs to be

Send that much and we come back within one business day with an all-in fee, not a bare performance rate that you then have to add sound, setup and travel to yourself.

What our quote includes

Every Lupa quote is one number your client can approve without a follow-up call. It covers the performance, sound, setup, VAT and travel within roughly 50km of Amsterdam, and the standard set length for that act. Bands from EUR 3,000 and the DJ with sound and light from EUR 1,500 include light as well. If your event needs a bigger PA, a lighting rig for a raw or outdoor space, or a longer set, we itemise that separately rather than folding it in, so you can present the number to your client with confidence.

We send live video with every option we propose, the same performance your guests will actually see, so you can forward it straight to your client before anyone commits. The performer in that video is the performer who plays your event, named in the contract, and this holds whether you are booking one act or several.

One contract, one point of contact

When you book more than one act, or a band with several musicians, you are still contracting with Lupa, not with each individual performer. One contract, one invoice and one point of contact: Noam handles all communication and logistics with every artist. That is the model most DMCs and agencies want when they are the ones answerable to their own client: you deal with us, and we deal with the details underneath.

Tech riders and coordinating with your AV supplier

For a band, we send a tech rider covering stage size, power and any input list, and the coordinator on your booking speaks directly with your AV supplier ahead of the date to confirm sound-check time, load-in and the handover between any AV programme and the live act. Bands bring their own instruments and backline, DJs bring their own equipment, so nothing about the performance depends on your AV team supplying instruments or amplification unless we have agreed that in advance. That keeps the technical conversation short and avoids surprises on site.

If your event runs several acts across one evening, for example a reception trio, a dinner band and a late DJ, we treat that as one booking with one rider and one point of contact managing the changeovers, rather than three separate suppliers you have to introduce to each other on the day.

Matching the act to the moment in your brief

Most agency briefs are actually two or three moments stitched into one evening rather than a single act for the whole night. Here is how the six acts we lean on most for agency and DMC briefs line up against those moments.

We size and sequence the booking to the room and the run of show you send us, and coordinate every changeover as part of the same contract. Payment, invoicing and getting Lupa into your systems

Our standard payment is 40 percent of the fee as a deposit when the contract is signed, and the remaining 60 percent one week before the event, by bank transfer in EUR, with a VAT invoice so your finance team has a proper record. If your client's finance department needs supplier onboarding forms, a different payment split or longer terms, raise it when you request the quote and Noam works it out with them directly, rather than after the contract is already signed.

Music licences

Buma/Stemra and Sena licences for the public performance of music are normally held by the venue or the event organiser, not by the performer. If you are not sure whether your venue already holds them, that is the first place to check. Most Amsterdam venues that host events regularly already have them in place, and we are happy to advise if the question comes up in your client conversation.

What happens on the night

One coordinator is on site through load-in, sound check and the performance, and is the single point of contact for your team and your client's team on the day. Acts run their sets as background during registration, dinner or speeches and build into a dance floor once the formal programme allows it, following the run of show we agree in advance. If a performer falls ill before the date, we arrange a backup musician so the booking still goes ahead as contracted, without you having to explain a gap to your client.
